Breach Response Protocol The streamlining of data has eliminated friction points and saved time and resources. However, with our data circulating online at an ever-increasing rate, this creates vulnerabilities for breaches and leaks that can have long-term consequences. According to the 2019 Cost of a Data Breach Report from the Ponemon Institute and IBM Security, close to 1 in 3 companies will experience a data breach in a given calendar year. While we'd never hope to be the subject of a breach, it is always important to be prepared. Let's take a look at four important ways to respond in the event of a breach: **1. Identify the source.** Immediately after communicating with the response team, the first priority should always be cutting off access to the data — whether this means a full system lockdown or running diagnostic tests to find and eliminate the breach source. The sooner you can stop the leak, the sooner you can start to rebuild your security. **2. Communicate with those affected.** Communicate with the necessary internal teams to execute your breach response plan. Additionally, you must notify those impacted by the breach as soon as possible. Breaches can go unnoticed for months or even years. Prompt notice is often required by law and allows individuals to protect themselves from potential misuse of their information. **3. Notify governing authorities.** Most data protection laws require you to report the breach to relevant authorities. This ensures oversight, investigation, and coordination in mitigating further loss or damage. **4. Conduct an online information audit.** Search the internet for leaked data and inaccurate or sensational reporting. You must set the record straight and remove any false or misleading information wherever possible. Let's take the healthcare industry as an example. Under HIPAA, both covered entities and their business associates must notify affected individuals promptly after discovering a breach of unsecured protected health information (PHI). - Notifications must be sent without unreasonable delay — and no later than 60 days from the discovery. - The notice must be in writing and sent by first-class mail or email if the individual has opted in. - It must include: what happened, what information was breached, how the entity is responding, and how it will prevent future breaches. - Victims should also be provided with a contact number and mailing address for questions and support. While this may seem strict, PHI is one of the most sought-after types of data on the dark web. Unlike financial data, which can be changed easily, PHI can be used to commit identity theft for years to come. Overall, data breaches are an unfortunate reality of the digital age. Every intuitive feature that makes a product or service easier to use also opens new ways for data to be compromised. Legislation is critical — but not enough. It is up to organizations to take data security seriously and to ensure they are ready to respond effectively when a breach occurs.
